This policy explains what information AgentWaves handles when you use our service and when people talk to your Agents by phone, WhatsApp, SMS or email, why we handle it, and the choices you have.
01Who we are
AgentWaves is a product of Ouranos Waves, which operates the service and is responsible for this policy. In this policy, "we" and "us" mean Ouranos Waves.
PLACEHOLDER: the registered legal name and registered address of Ouranos Waves will be stated here.
02Who is responsible
For your account information, we decide how it is used. For the conversations your Agents handle and the information your customers share, you, our customer, decide how it is used, and we process it on your behalf and on your instructions.
03Information we handle
Depending on how you use the service, this may include:
- 01Account details such as your name, work email, company name, country and industry.
- 02The owner's phone number, which your Chief of Staff uses to recognise you on calls and WhatsApp.
- 03Business knowledge you give your Agents, including website pages we read at your request, documents you upload, and your products and prices.
- 04Conversation information such as phone numbers, call and message times, call durations, transcripts, messages, summaries and, only where you switch it on, recordings.
- 05Details your customers share, such as their name, a booking time or an order number.
- 06The work records your Agents keep: contacts, clients and suppliers, tasks, cases, notes, documents, invoices, reports and goal progress.
- 07Billing information. Card payments are handled by a payment processor, and we never see or store full card numbers.
- 08Technical information such as browser type and basic usage logs, used to keep the service secure and working.
04Call recording and consent
Call recording is switched off by default. If you turn it on, you can set a consent message that your Agent says at the beginning of each call.
You are responsible for making sure recording is lawful where your customers are located, including giving any notice and obtaining any consent the law requires in every country your Agents take calls from or make calls to. Some places require every person on the call to agree before it is recorded.
05How we use information
We do not sell personal information, and we do not use your customers' information to market our own services to them.
- 01To run your Chief of Staff and your team of Agents: answer and place calls, reply to messages and email, prepare work for your approval, and keep tasks, cases and reports.
- 02To produce transcripts, summaries, the daily report and weekly goal progress for you.
- 03To keep the service secure, prevent abuse and investigate problems.
- 04To bill you correctly for your plan, your minutes, your numbers and your wallet.
- 05To contact you about your account and important changes to the service.
06Retention
Call data is kept for the retention period set on your account, which is 365 days unless you choose a different period. After that period it is deleted or anonymised.
You can delete individual calls sooner from your account. Account information is kept while your account is open and for a limited period afterwards where the law requires us to keep records.
07Sharing with service providers
We rely on carefully selected providers in these categories: telephony carriers and messaging networks, cloud hosting and storage, AI model providers that turn speech into text and help write replies, email delivery, and payment processing. They process information only to provide their part of the service to us, under written agreements that require them to protect it.
Some providers may process information in other countries. Where the law requires it, we put safeguards in place for those transfers.
Some Agent tools need no account of yours, such as a web search. When an Agent uses one, it sends only what the task needs. When you connect an app of your own under Integrations, information flows to that app because you asked it to, and its own privacy terms then apply to what it holds.
08Your rights and choices
You can access, correct, export or delete your account information, and close your account at any time. Depending on where you live, you may have further rights under data protection law, such as objecting to some processing or complaining to a data protection authority.
Your customers who wish to exercise their rights over conversation data should contact the business they spoke to. We will help our customers respond to those requests.
09Security
We protect information with encryption in transit, access controls and audit logging. No system is perfectly secure, and we will tell affected customers promptly if we become aware of a breach that affects their data.
10Website visits and demo calls
We count visits to our website ourselves, with no outside analytics service. A random identifier in a first-party cookie lets us tell new visitors from returning ones. We record the pages you read, the site that sent you, your browser and device, and the country and city your connection comes from. We do not keep your IP address. Visit records are deleted after about 13 months.
When you ask for a demo call, we keep your company name, your name if you give it, your phone number, the time you chose and the call's recording and transcript, and use them only for that call and to improve our Agents. We call each number at most once every 30 days.
11Changes to this policy
We may update this policy as the service changes. We will tell you about changes that materially affect you before they take effect.
